If you give us personal information about another passenger, you should make sure that person knows you are providing it to us and direct them to this Privacy Policy where appropriate.
4. How and why we use personal information
We may use personal information for the following purposes:
To respond to questions, contact requests and quotation enquiries.

To establish, exercise or defend legal claims and comply with legal, regulatory, licensing, insurance and law-enforcement requirements.
5. Lawful bases for processing
UK data protection law requires us to have a lawful basis for each use of personal information. Depending on the circumstances, we rely on one or more of the following:
Contract: processing is necessary to take steps at your request before a booking or to perform our contract with you.
Legal obligation: processing is necessary to meet duties relating to tax, accounting, licensing, insurance, court orders or other legal requirements.
Legitimate interests: processing is necessary for our legitimate business interests, such as responding to enquiries, administering bookings, preventing fraud, securing our systems, improving services and managing legal claims, provided those interests are not overridden by your rights.
Consent: where the law requires consent, for example for certain non-essential cookies or optional marketing. You may withdraw consent at any time, without affecting processing already carried out lawfully.
Vital interests: in rare emergencies, processing may be necessary to protect someone’s life or physical safety.
We do not rely on consent where another lawful basis is more appropriate, such as performing a booking contract.
6. Enquiry and booking forms
Information submitted through our contact and journey-enquiry forms is used to answer your request, prepare a quotation, check availability, arrange a journey and communicate with you. Required fields will be identified on the form. If necessary information is not provided, we may be unable to provide an accurate quotation or fulfil the booking.
7. Email, telephone, SMS, WhatsApp and social media
If you contact us by email, telephone, SMS, WhatsApp or social media, we process the information you provide to respond, manage a booking, maintain appropriate business records and protect our legal interests.
We do not routinely record telephone calls unless we clearly tell you before recording begins. Messages sent through WhatsApp or social-media platforms are also processed by those providers under their own privacy terms. Avoid sending complete payment-card details or other highly sensitive information through messaging services.
8. Flight, train and cruise monitoring
Where you provide a flight number, train service or cruise information, we use it to monitor expected arrival times, adjust collection arrangements and communicate relevant changes. We use this information only for the journey, customer support, record-keeping and any related dispute or claim.
9. Payments and fraud prevention
Payments may be processed by [PAYMENT PROVIDER(S)]. Payment providers receive the information necessary to process and verify the transaction. Presence Travel does not intend to receive or store complete card numbers or security codes.
We may retain transaction references, payment status, amount, date, billing details and the last digits of a card where supplied by the provider. We may use relevant information to prevent fraud, handle refunds, respond to chargebacks and meet legal and accounting requirements.
10. Marketing
We will not send electronic marketing unless we have a lawful basis to do so. Where consent is required, we will ask for it separately. You can opt out at any time using an unsubscribe option or by contacting us.
Operational messages about an enquiry or booking are not marketing and may still be sent where necessary.
11. Vehicle CCTV, dashcams and audio
Where cameras are installed in or on our vehicles, images may be recorded for safety, security, crime prevention, incident investigation, insurance, licensing and legal purposes. Clear signage will be displayed where required.
Access to footage is restricted. Footage will normally be automatically overwritten after [CCTV RETENTION PERIOD, FOR EXAMPLE 28 OR 31 DAYS], unless it is needed for an incident, complaint, insurance claim, legal obligation or law-enforcement request.
Audio recording will not be used unless it is lawful, necessary and clearly communicated. If no in-vehicle camera is used, remove this section before publishing.
12. Who we share information with
We do not sell personal information. We may share it where necessary with:
Website, email, cloud-storage, communications and IT providers, including Squarespace where applicable.
Payment processors, banks and fraud-prevention providers.
Accountants, insurers, solicitors and other professional advisers.
Drivers, subcontractors or transport partners where necessary to fulfil a booking. They should receive only the information required for the journey.
Flight, mapping, navigation and journey-management service providers.
Licensing authorities, regulators, courts, police, tax authorities and other public bodies where required or permitted by law.
A purchaser, investor or adviser in connection with a proposed sale, transfer or reorganisation of all or part of our business, subject to suitable confidentiality protections.
Where another organisation processes information on our behalf, we take reasonable steps to use providers that offer appropriate security and contractual protections.
13. International transfers
Some service providers may store or process information outside the United Kingdom. Where personal information is transferred internationally, we will use an approved legal mechanism or other appropriate safeguard where required, such as an adequacy regulation or approved contractual clauses.
14. Cookies and similar technologies
Our website may use essential cookies required for security and basic operation, and—with your permission—analytics, functionality or marketing cookies. Details of the cookies and providers actually used, their purposes and durations should be set out in our Cookie Policy and cookie-consent tool.
You can change your cookie choices through the website’s cookie settings or your browser. Disabling essential cookies may affect website operation.
15. Data security
We use proportionate technical and organisational measures designed to protect personal information against accidental or unlawful loss, alteration, disclosure, destruction or unauthorised access. These may include encrypted website connections, access controls, passwords, device security, secure providers, backups and staff or contractor confidentiality requirements.
No internet transmission or storage system is completely secure. You should not send complete card information or unnecessary sensitive information by ordinary email or messaging.
16. Data breaches
If we become aware of a personal-data breach, we will investigate and take appropriate steps. Where the law requires, we will notify the Information Commissioner’s Office and affected individuals within the applicable time limits.
17. Data Erasure and Storage Duration
We will erase your personal data as soon as the legal basis for its processing lapses. However, legal bases may also exist in parallel or a new one may intervene with the lapsing of a legal basis, such as for example the duty to store determined data to fulfill a legal retention obligation (e.g. according to commercial or tax law).
18. Your data protection rights
Depending on the circumstances and lawful basis, you may have the right to:
Be informed about how your personal information is used.
Request access to your personal information.
Request correction of inaccurate or incomplete information.
Request deletion where there is no lawful reason to continue holding the information.
Request restriction of processing in certain circumstances.
Object to processing based on legitimate interests and object at any time to direct marketing.
Receive certain information in a structured, commonly used and machine-readable format and ask for it to be transferred where the right to data portability applies.
Withdraw consent at any time where processing is based on consent.
Complain to the Information Commissioner’s Office.
These rights are not absolute and may be limited by legal exemptions or our need to retain information for legal claims, tax, accounting, licensing or other obligations.
To exercise a right, contact [PRIVACY EMAIL]. We may need to verify your identity. We normally respond within one month, although the law permits extensions for complex or numerous requests.
19. Automated decision-making
Presence Travel does not currently make decisions that produce legal or similarly significant effects solely by automated means. If this changes, we will update this Privacy Policy and provide the information required by law.
20. Children and passenger information
Our website and services are intended for adults arranging transport. We do not knowingly collect personal information directly from children through the website. Information about a child, such as age group or child-seat requirement, should be supplied by the responsible adult only when necessary to provide the journey safely.
21. Special-category and sensitive information
Please avoid providing medical or other sensitive information unless it is genuinely necessary for us to deliver the journey safely. Where you voluntarily provide accessibility or health-related information, we will use it only for the requested arrangements, safety, legal claims or another lawful purpose permitted under data protection law.
22. External links and embedded services
Our website may contain links to or embedded content from third parties, such as mapping, review, social-media or payment services. Those organisations control their own processing. We are not responsible for their websites or privacy practices, and you should review their privacy notices.
23. Changes to this Privacy Policy
We may update this Privacy Policy to reflect changes in our services, suppliers, technology or legal requirements. The current version will be published on our website with its last-updated date. Where a change is significant, we may provide an additional notice.
24. Contact and complaints
Questions, requests or complaints about personal information should be sent to:

Telephone: +447380242249

You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection. Current ICO contact details are available on the ICO website.
25. Company website disclosure
This Privacy Policy identifies the data controller. Separately, a UK limited company’s website must make available its full registered company name, company number, registered office address, place of registration and limited-company status. These details may be placed on a Legal Information page or another clearly accessible location rather than in the homepage footer.
At Presence Travel, we aim to handle personal information with the same care, professionalism and respect that we bring to every journey.
